Vicki Wilson – Turning Admin Chaos into Calm, Sustainable Growth

Apr 3, 2026

There are certain conversations that instantly make you rethink how you’re running your business, and this was one of them.

When I sat down with Vicki Wilson, founder of Vicki Admin Fairy, what stood out wasn’t just her experience or the success she’s built over the past five years. It was how clearly she understands the reality of running a small business, and the quiet ways things can start to slip without you even realising.

This isn’t about systems for the sake of it, or polished processes that look good on paper. It’s about the everyday reality of business ownership, and what happens behind the scenes when admin is left too long.

From Redundancy to Building Something That Works

Vicki’s journey into business didn’t start with a carefully mapped-out plan. It started with redundancy after 20 years working at HMRC.

For many people, that moment brings uncertainty. For Vicki, it brought clarity.

“I think I was the only person in that office looking forward to being made redundant,” she said. “Because I knew if I hadn’t been, I’d still be there now, in a job I didn’t enjoy.”

Rather than looking for another role, she made a decision that many business owners will recognise. She didn’t want to go back into employment. She wanted to build something of her own.

“I didn’t want to be employed. I wanted to be the employer.”

What began as helping her husband with bookkeeping and admin quickly grew into something more, as other business owners started asking for help with their emails, invoicing and day-to-day tasks.

That was the moment everything shifted.

“I thought, if they’re coming to me for all this work… I’ve got a business here.”

Five years on, that small idea has grown into a multi-award-winning business, built almost entirely through word of mouth, supporting clients across the UK remotely as well as locally.

The Hidden Cost of “I’ll Do It Later”

One of the most powerful parts of this conversation was how Vicki described the real impact of neglected admin.

It isn’t just about being disorganised. It’s about what gets missed along the way.

She shared the story of a client who had been so busy delivering work that months of admin had fallen behind. Invoices had been created but never sent, reports had been completed but not followed up, and money that should have been in the business simply wasn’t there.

“I went through everything and said… we’ve got a problem. I can’t find eight or nine thousand pounds.”

The issue wasn’t that the work hadn’t been done. It was that the final step had been missed.

Around 70% of those invoices had never been sent.

“He’d done the work, done the report… but then moved onto the next job and forgotten to send it.”

Once the system was put in place and everything was tracked properly, that money started coming back into the business within a matter of months.

And without that intervention, it would likely have been lost completely.

Admin, in that moment, stopped being a background task. It became a direct link to revenue.

Why Admin Becomes Overwhelming

What Vicki articulated so clearly is something most business owners feel but don’t always say out loud.

Admin doesn’t get left because people don’t care. It gets left because they are focused on delivering their service and bringing in new work.

“They’re concentrating on bringing in clients and doing their job properly,” she explained. “They haven’t got time to do the admin that goes with it.”

The challenge is that when admin is done inconsistently or in rushed pockets of time, it creates more problems than it solves. Things get missed, follow-ups don’t happen, and stress builds in the background.

Vicki’s role is to remove that pressure entirely.

“They know it’s being done,” she said. “They’re not worrying about it.”

And that shift, from constant low-level stress to clarity and trust, is often what allows business owners to move forward properly.

Every Business Needs a Different System

Something that really stood out in this conversation was Vicki’s approach to working with clients.

There is no standard package, no one-size-fits-all process, and no assumption that every business should operate in the same way.

“I treat every client differently,” she explained. “Everyone’s business is unique. They’ve all got different needs and wants.”

That flexibility allows her to step into businesses and build systems that actually work for the person running them, rather than forcing them into something that feels unnatural or difficult to maintain.

It also builds a level of trust that goes beyond task-based support.

As one client told her, “You probably know more about my business than I do.”

That kind of relationship only happens when someone is truly embedded in the day-to-day running of the business.

When Is the Right Time to Get Support?

This is the question most business owners ask, and often the one they delay answering.

Vicki’s response was immediate.

“As soon as possible.”

Not when everything has already gone wrong.
Not when the backlog feels overwhelming.
But at the point where the pressure starts to build.

Because the longer admin is left, the more time and cost is involved in putting it right.

“I can fix it,” she said. “But it’ll cost more because I’ll be putting more hours in.”

Bringing support in earlier isn’t just about saving time. It’s about avoiding the problems altogether.

Recognition, Confidence and Business Growth

Alongside running her business, Vicki is also an award-winning entrepreneur and now a judge for The Class Business Awards.

Her perspective on awards was grounded and refreshingly honest.

She doesn’t see them as something reserved for “big” businesses or a box-ticking exercise. She sees them as a way to reflect, review and recognise what’s actually been achieved.

“It’s like a performance review for your business,” she explained. “You don’t get that when you work for yourself.”

Going through the process allows you to step back and see the bigger picture.

“I looked at it and thought… wow, I have had a good year.”

Beyond that, awards have opened doors to new opportunities, larger clients and recognition outside of her immediate network.

“It gives you recognition outside your circle.”

And for many small business owners, that visibility is what helps them move into the next stage of growth.

A Business That Supports the Person Behind It

What Vicki has built is not just a service. It’s a support system for business owners who are trying to juggle everything at once.

By taking care of the admin, she gives her clients something far more valuable than time.

She gives them space.

Space to focus.
Space to grow.
And space to actually enjoy the business they’ve built.

And perhaps that’s the biggest takeaway from this conversation.

When the behind-the-scenes work is handled properly, everything else becomes easier to manage.
